“Small businesses” is not a customer segment. Neither is “developers.” A useful ideal customer profile helps you decide who to interview, what to build, where to find prospects, and which opportunities to ignore for now.
Start with the urgent situation
Define the moment that makes someone look for help. Good segments often share a trigger:
- a team just crossed a size threshold;
- a new regulation or customer requirement appeared;
- an existing workflow broke under higher volume;
- a person took responsibility for a metric; or
- a deadline made the old workaround unacceptable.
The trigger is often more predictive than industry alone.
Describe the account
Choose only characteristics that change the need, buying process, or ability to adopt:
- company type and size;
- geography or regulatory environment;
- current tools or technical constraints;
- growth stage or operating complexity;
- budget ownership; and
- a visible trigger.
Then write explicit exclusions. “Not for agencies,” “not for teams without a dedicated operator,” or “not for regulated health data” can save months of distracted selling.
Name the people
Separate three roles even if one person fills all of them:
- User: feels the workflow every day.
- Champion: spends political energy to make change happen.
- Buyer: controls the budget or accepts the risk.
Write what each person wants, fears, and needs to believe.
Score the segment
Rate a candidate segment from one to five on pain, frequency, budget, reachability, and speed to decision. Do not pretend the math is scientific; the score forces a comparative conversation.
If a segment is painful but impossible for you to reach, it is a poor first market. If it is easy to reach but the problem is optional, it will produce friendly calls and weak sales.
Write the one-page profile
Use this format:
We are starting with [account type] that recently [trigger]. [user] currently handles the problem with [workaround], which causes [consequence]. [buyer] can approve a change when [buying condition]. We can find these teams through [specific channel]. We are not targeting [exclusions] yet.
Attach three real accounts that fit. If you cannot name them, the profile is still too abstract.
You are done when
- A new teammate could find ten matching prospects without asking what you meant.
- The profile includes a trigger and current workaround.
- User, champion, and buyer are named.
- There are explicit exclusions.
- You have selected one segment for the next 30 days.
